A Further Explanation Of How I Use My Weekly Planner

On Monday, I had the privilege of having Lifehacker mention my weekly planner. It brought hundreds (thousands?) of new visitors my way, who wanted to check it out. However there was some doubt as to how I actually use it with many wanting to see a filled in example. So today that’s exactly what I’m going to give you. I hope this will clarify a few points for you all. If you still have any questions please leave a comment and I will try to answer them.

Note that in the top section, you only put day and/or time related stuff here (the hard landscape). For instance, I need to go to the conference on Thursday, that isn’t something I can change, and I need to type up a report on Tuesday as Sarah is expecting it. In the next actions section I put any tasks that don’t (yet) need to be done on a particular date (though this doesn’t mean they are any less important). For example, I want to search for a birthday present for someone but the birthday isn’t for several weeks so I can just fit it around other stuff I’m doing. Finally, the third box is simply if I have lots of related tasks and I want to group them together (under home-owner in this example), instead of having them cluttering up the next actions box. By grouping them together I can easily see how much housework I have to do.

How do you differentiate between items in your roles box and the next actions box?

The role/responsibility box is for grouping related next actions together. It’s basically to make the planner look neater and more organized. On the filled in example I grouped all the next actions that involved my home into the context (or role or responsibility, it’s all really the same thing) of home-owner.

Thanks. I ask because the actions under the roles box aren’t the same as those under the next actions box.
